Clients engaging our recruitment services agree to the following responsibilities in order to ensure the successful placement of candidates and the provision of high-quality service:

4.1    Provide Accurate Job Descriptions, Working Conditions, and Requirements

Clients are responsible for providing clear, detailed, and accurate job descriptions, including a comprehensive outline of the responsibilities, qualifications, and skills required for the role. This includes specifying any mandatory qualifications, experience, and certifications needed. In addition, clients must provide a full overview of the working conditions, including but not limited to:

  • Hours of work and shift patterns
  • Workplace location and environment
  • Any specific requirements related to health and safety
  • Necessary equipment or tools the candidate will be expected to use

By providing clear and accurate job descriptions, clients help ensure that Serenity Alley Healthcare can match suitable candidates with the right roles. Clients are also required to keep Serenity Alley Healthcare informed of any changes to job requirements, conditions, or responsibilities throughout the duration of the recruitment process or placement.

4.2    Ensure a Safe and Compliant Working Environment

Clients must ensure that the workplace where candidates are assigned is in full compliance with all relevant laws, regulations, and industry standards, including health and safety laws, safeguarding regulations, and employment standards. This includes:

  • Providing a safe working environment that protects the health, safety, and well-being of all employees, including candidates placed by Serenity Alley Healthcare.
    • Adhering to all employment laws, including minimum wage requirements, working time regulations, and non-discrimination laws.
    • Ensuring that the workplace is free from harassment, bullying, and any form of discrimination.
  • Providing necessary personal protective equipment (PPE) and other safety measures, where applicable.

Failure to provide a safe and compliant working environment may result in the termination of services or the removal of candidates from assignments.

4.3    Notify Us Promptly of Any Issues or Concerns with Assigned Staff

Clients are required to notify Serenity Alley Healthcare promptly of any issues or concerns with assigned candidates. This includes, but is not limited to:

  • Performance concerns or issues with the candidate’s work quality or behavior.
  • Attendance or punctuality problems.
  • Any safety or conduct violations.
  • Concerns related to qualifications, certifications, or compliance issues.

Timely communication helps us address problems quickly and allows us to work with both the client and the candidate to resolve any challenges. We expect clients to engage in open and constructive feedback, ensuring that both parties have the opportunity to address concerns and maintain a high standard of service.

4.4    Provide Support and Guidance to Placed Candidates

Clients must provide candidates with adequate training, orientation, and support to ensure that they can perform their job duties effectively and safely. This may include:

  • Providing an appropriate induction into the role and workplace culture.
  • Offering ongoing support, mentorship, or supervision where necessary.
  • Ensuring that candidates are aware of any specific protocols, procedures, or workplace rules.

4.5    Payment and Timely Invoicing

Clients are responsible for making timely payments for the recruitment services provided by Serenity Alley Healthcare, in accordance with the terms outlined in the service agreement. This includes ensuring that payments are made in full and within the specified time frame as per the agreed-upon payment schedule. Failure to meet payment deadlines may result in delayed services or suspension of recruitment efforts.

5.   Candidate Responsibilities

Candidates registering with Serenity Alley Healthcare agree to the following responsibilities in order to ensure that their placement is successful and that they maintain a high standard of professionalism throughout their employment:

5.1    Provide Accurate Information about Qualifications, Experience, and Certifications

Candidates must provide truthful, accurate, and complete information regarding their qualifications, previous work experience, professional certifications, and any other relevant details required for their role. This includes:

  • Educational Qualifications: Providing details of relevant academic qualifications, professional training, and courses.
    • Work Experience: Accurately disclosing previous employment history, including roles held, duties performed, and durations of employment.
    • Certifications and Licenses: Submitting copies of up-to-date certifications, licenses, and professional memberships required for the specific role (e.g., healthcare certifications, DBS checks, safeguarding training).

Providing false or misleading information may result in the suspension of services or termination of employment. Candidates must also promptly update their records with Serenity Alley Healthcare if there are any changes to their qualifications or certifications.

5.2    Attend Interviews and Assignments Punctually and Professionally

Candidates are expected to demonstrate punctuality and professionalism when attending interviews and when reporting for assignments. This includes:

  • Interviews: Attending scheduled interviews on time and prepared to discuss your qualifications, experience, and how you can contribute to the role. If for any reason you cannot attend an interview, you must notify both Serenity Alley Healthcare and the client in advance.
    • Assignments: Reporting to work on time and prepared to carry out the assigned duties. If there is any reason you cannot attend an assignment (e.g., illness, emergency), you must inform the client and Serenity Alley Healthcare as soon as possible.

Timeliness and professionalism are essential to maintaining a good relationship with both clients and Serenity Alley Healthcare. Repeated lateness or unprofessional behavior may result in the termination of the placement and further action.

5.3    Maintain Professional Conduct and Adhere to All Applicable Workplace Policies During Assignments

Candidates must adhere to the professional standards and conduct expected of them during their assignments. This includes:

  • Workplace Behavior: Demonstrating respect, courtesy, and professionalism when interacting with colleagues, clients, and service users. This includes respecting the diversity and dignity of others and adhering to ethical conduct standards.
    • Adherence to Policies: Following all workplace policies, procedures, and guidelines provided by the client or employer. This includes, but is not limited to, health and safety protocols, confidentiality agreements, dress codes, and code of conduct policies.
    • Health and Safety: Complying with all health and safety regulations in the workplace to ensure your well-being and the safety of others. If you identify a potential safety hazard, you must report it to your employer immediately.
    • Confidentiality: Respecting the confidentiality of all sensitive information you may encounter during your assignment, including personal data, medical information, or any proprietary business information.

Candidates are expected to behave in a manner that aligns with the values of Serenity Alley Healthcare and the client organization, ensuring a positive and professional environment for everyone involved. Failure to comply with these standards may lead to disciplinary action, including termination of the placement.

5.4    Maintain Clear and Timely Communication

Candidates must maintain clear and open communication with Serenity Alley Healthcare and the client organization throughout their placement. This includes:

  • Reporting Issues: Notifying Serenity Alley Healthcare immediately if there are any issues or concerns with the assignment, work conditions, or interpersonal conflicts.
    • Feedback: Providing constructive feedback about your placement experience, which helps us improve our services for future assignments.

Regular communication is key to resolving potential issues early and ensuring that both the candidate and the client have a positive experience.

5.5    Comply with Legal and Regulatory Requirements

Candidates must comply with all applicable legal and regulatory requirements related to their work. This includes ensuring that all necessary documentation, such as DBS checks, work permits, and insurance, are up-to-date and valid.

Serenity Alley Healthcare will not be responsible for any legal or regulatory violations on the part of the candidate. Non-compliance may result in the cancellation of placements or the termination of employment.

6.   Payments and Fees

6.1    Clients

Clients engaging Serenity Alley Healthcare’s recruitment services agree to the following payment terms:

  • Fees for Recruitment Services: The fees for recruitment services provided by Serenity Alley Healthcare are outlined in the specific service agreement between the client and Serenity Alley Healthcare. These fees may vary depending on the type of service (e.g., temporary, permanent, contract placements) and the complexity of the recruitment process. Additional costs may apply for specialized services or training provided to candidates.
    • Payment Terms: Payments for recruitment services must be made in full within the terms specified in the invoice, as agreed upon in the service agreement. Invoices are typically issued upon placement of candidates or as per the agreed payment schedule, whichever is specified in the contract. Clients are responsible for ensuring that payments are made on time to avoid any disruptions in service.
    • Late Payments: Clients are expected to pay invoices in a timely manner. Any late payments may incur additional charges, including but not limited to interest charges or administrative fees. The late payment interest rate will be specified in the service agreement, but in the absence of a specified rate, it will be charged at the statutory rate of interest, in accordance with UK law.
    • Payment Methods: Payments can be made via the methods specified in the service agreement, including bank transfer, credit/debit card, or other mutually agreed-upon payment methods. Clients should ensure that payments are made in full and that any transaction fees associated with the payment method are covered.
    • Disputes Over Payments: If there is a dispute regarding any charges on the invoice, clients must notify Serenity Alley Healthcare in writing within 7 days of the invoice date. The client agrees to pay any undisputed portion of the invoice on time while the dispute is being resolved. Failure to do so may result in suspension of services.

6.2    Candidates

Candidates placed in temporary, contract, or permanent roles by Serenity Alley Healthcare agree to the following payment terms:

  • Hourly Rates or Salaries: Candidates will receive payments based on the agreed hourly rates, salary, or compensation structure that was specified during the recruitment process. The agreed rate will be communicated to the candidate in writing or as part of the assignment agreement.
    • Deductions: All payments made to candidates will be subject to statutory deductions for tax, National Insurance contributions, and any applicable pension contributions, as required by law. Candidates will receive a breakdown of their pay, detailing the deductions and net pay amount. It is the responsibility of the candidate to ensure that their tax and National Insurance information is up to date.
  • Payment Frequency: Payments will be made to candidates on a regular basis, in accordance with the payment schedule set out in the assignment or contract (e.g., weekly,

bi-weekly, or monthly). The specific payment schedule will be confirmed at the start of the assignment, and candidates will receive timely payment for the hours worked, provided the timesheet or attendance record has been approved by the client.

  • Currency of Payments: Payments will be made in GBP unless otherwise specified in the service agreement. If a candidate is working in a different country or under a specific contract that stipulates a different currency, this will be clearly outlined in the assignment agreement.
    • Payment Errors: If a candidate believes there has been an error in their payment (e.g., incorrect calculation of hours worked or deductions), they should notify Serenity Alley Healthcare within 7 days of receiving the payment. Any discrepancies will be promptly investigated and rectified.
    • Agency Fees for Candidates: Serenity Alley Healthcare does not charge candidates any fees for placement or recruitment services. If any fees are applicable, these will be clearly communicated to the candidate in advance and agreed upon in writing.
